What has to be on an invoice for it to count

The minimum for a valid invoice is fairly consistent internationally: the word Invoice, a unique sequential number, the issue date, your name and address, the customer's name and address, a clear description of what was supplied, the amount due, and any tax shown separately from the net amount.

Under Indian GST a tax invoice additionally requires both parties' GSTINs where registered, the HSN or SAC code for what was supplied, the place of supply, and the CGST and SGST or IGST split. A document missing these is not a tax invoice, whatever it is headed, and your customer may not be able to claim input credit against it.

Requirements differ by country and by what you supply, so if you invoice internationally it is worth checking the rules where your customer is rather than assuming yours travel.

Numbering, records and the audit question

Number invoices sequentially with no gaps and never reuse a number. A missing number in a sequence is among the first things an auditor asks about, and the honest explanation — that one was cancelled — is much easier to give if you issued a credit note rather than deleting the invoice.

Prefixing by year or by client keeps the sequence clean while making your own records searchable: 2026-001, or ACME-014. What matters is that the scheme is consistent and that you can produce every document in the series.

Keep copies for the period your jurisdiction requires, which is commonly six years or more. Since this tool generates the PDF on your device and keeps no copy, that record-keeping is genuinely yours to do — there is no account to log back into and retrieve last year's invoices from.

Getting paid, which is the actual objective

Most late payment is administrative rather than deliberate, so the fixes are administrative too. Invoice immediately on completion rather than batching at month end — the delay is entirely yours and it postpones payment by the same amount.

Give a specific due date rather than a term. "Payment due by 15 April" is acted on; "Net 30" requires the recipient to work out a date and is easier to defer. Put your payment details directly on the invoice, so paying it requires no further correspondence.

Send a short reminder two days before the due date rather than after it. It is read as helpful rather than chasing, it catches invoices stuck in an approval queue while there is still time, and it makes a follow-up after the date far less awkward because you have already established the expectation.

Not in this version — the current invoice is typographic, which keeps it clean and keeps the file small. If you need a logo, generate the PDF here and add the image with a PDF editor, or put your business name and details in the 'From' field, which is what most clients and accountants actually look for.

What payment terms should I set?

Net 15 or Net 30 are the usual defaults, meaning payment is due 15 or 30 days after the issue date. Shorter terms improve your cash flow but can strain a client relationship if they are unusual in your industry. Whatever you choose, state it explicitly in the notes along with your bank details or payment link — invoices that make paying easy get paid faster. Adding a late-payment clause is worth doing, and in many jurisdictions statutory interest applies even if you do not mention it.

Can I use this for freelance or international work?

Yes. Pick your currency from the dropdown — rupees, dollars, euros and pounds are supported — and set your own tax label, so it works for GST, VAT, sales tax or no tax at all. If you export services from India, note that these may be zero-rated under GST provided you meet the export conditions, in which case set the rate to 0% and reference your LUT in the notes.

How do I make sure I get paid on time?

Invoice immediately rather than at month end, make the due date a specific calendar date instead of 'Net 30', include your payment details directly on the invoice, and send a polite reminder two days before the due date rather than after it. Most late payments are administrative rather than deliberate, and a clear, professional-looking invoice with unambiguous terms removes most of the friction.
