How to Resize a Photo or Signature to 20KB for an Online Form
Application portals — examination boards, government services, banks, university admissions — routinely demand a photograph under 50 KB and a signature under 20 KB, often at exact pixel dimensions as well. They then reject anything that misses, usually without saying which rule you broke.
The requirements are not unreasonable in themselves; they exist because these systems store millions of records. What makes them painful is that a modern phone camera produces images roughly a hundred times larger than what is being asked for, so every applicant has to solve the same problem.
Understand which limit you are being given
Forms specify two different things and people conflate them constantly. Dimensions are how many pixels wide and tall the image is — 200 by 230, say. File size is how many bytes it occupies — 20 KB. They are related but not the same, and a form may specify either, or both independently.
Read the requirement carefully before you start, because satisfying the wrong one is one of the most common reasons a submission is bounced. Some systems reject an image that is not exactly the stated pixel dimensions even if the file size is fine.
The order that works
Doing these steps in the wrong order means fighting yourself. Each one reduces the file size, and doing the cheap ones first means the expensive one — reducing quality — barely has to happen at all.
- Crop first. Remove everything that is not the subject. You cannot compress away pixels you never needed, and a photograph cropped to the face is a fraction of the size of the same photograph with a room behind it.
- Resize second. Set the dimensions to what the form asks for. This is the most powerful lever available: halving both width and height leaves a quarter of the pixels, which typically cuts the file to well under a third before you touch quality.
- Reduce quality last, and only as far as you must. Between quality 100 and about 80 the file shrinks dramatically with almost no visible difference. Below about 50 the damage becomes obvious.
Do not stretch the image to fit
When a form demands dimensions with a different proportion than your photograph, the temptation is to set both numbers and let the image squash. Do not. Stretching widens faces, turns circles into ovals and makes text lean, and on an identity photograph it reads as a manipulated image rather than a badly resized one.
The correct move is to crop to the required proportions first — keeping the subject positioned where it needs to be — and then resize the cropped image to the exact pixel dimensions. You get the size the form wants and an image that still looks like the person it depicts.
Getting a signature under 20KB
Signatures have their own quirks, and the usual failure is a scan that is technically small enough and visually useless.
Sign in black ink on plain white paper, and scan or photograph in good even light. Crop tightly to the signature itself with a small margin — most of a signature scan is empty paper, and cropping it away is free size reduction. If the form permits PNG, use it: a signature is flat black on flat white, which is exactly the kind of image PNG compresses well and JPEG handles badly, producing grey speckling around the strokes.
If the result still exceeds the limit, reduce the dimensions rather than the quality. A signature at 140 by 60 pixels is perfectly legible at the size any form displays it, and it will be a very small file.
Check the result before you submit
An image that meets the limit but is too degraded to identify a face defeats the purpose of the requirement, and having a submission rejected for legibility after it passed the size check is a wasted round trip — sometimes a wasted application window.
Open the finished file at full size and look at it. If you can see blocky patches around the edges of the face, or the signature has broken into disconnected fragments, go back and take a little less quality out.
Aim slightly under the limit rather than exactly at it. Some systems measure marginally differently from your file browser, and landing on 20.0 KB against a 20 KB cap is an avoidable risk when 18 KB would have been accepted without argument.
Why these limits exist at all
It is easier to comply with a rule you understand. Examination boards and government portals handle millions of applications in a compressed window, and each record carries a photograph and a signature. At a hundred kilobytes per applicant, ten million applicants is a terabyte of images that has to be stored, backed up, replicated and served back to verification staff for years afterwards.
Capping the file size is the cheapest way to keep that manageable, and the exact pixel dimensions exist because the images are printed onto admit cards and identity documents at a fixed size. An image with the wrong proportions either gets distorted by their system or breaks the layout of the printed card.
Knowing that explains an otherwise baffling behaviour: why these systems are so unforgiving. The check runs before a human ever sees the application, and it is a simple numeric comparison with no room for judgement. There is nobody to appeal to, which is why it is worth getting right the first time.
A checklist before you submit
Most rejections come down to a handful of things, and running through them takes less time than a resubmission.
One final point specific to these portals: they frequently want the photograph taken recently, against a plain light background, with your face occupying a defined proportion of the frame. A technically compliant file of an unsuitable photograph still gets rejected, just later in the process.
- The file is at or under the stated size, with a little margin rather than exactly on the limit.
- The pixel dimensions match exactly if exact dimensions were specified.
- The format is one the form accepts — usually JPEG for photographs, sometimes PNG for signatures.
- The face or signature is still clearly legible at full size after compression.
- The aspect ratio was preserved by cropping rather than broken by stretching.
